Team

The Team section holds every person who works for your company, once. A member’s record says who they are and how to reach them, which departments they belong to and, when they sign in, which roles they hold. Roles decide which apps a person opens and what they may do there.

A member does not need a sign-in. A caretaker guests call, or a person shown on your website, can be on the list without ever opening the back office. Property owners are not team members: they have their own records and their own space.

Members

Open Team > Members to see the list. Each person has:

Filter the list by department, role, sign-in state or active, and search by name or exact email. People whose role includes managing the team (Administrators and Managers by default) add and edit members. A member who has a sign-in, or an invitation waiting, is never deleted: you mark them as having left instead.

Invitations and sign-in

A member’s Access tab shows their sign-in state: none, an invitation waiting until it expires, can sign in, or turned off. It also shows their roles, the Can sign in switch and the apps those roles open. Only people whose role includes managing users (Administrators by default) change it; everyone else sees it read-only, and saving the rest of the record never touches it.

To give someone a sign-in, open their record and choose Invite to sign in with one or more roles. The rules:

  • The invitation is emailed to the member’s address. It is valid for 72 hours and works once. You never see the link yourself.
  • You can only give roles you hold yourself. If you are not an Administrator, the roles offered stop at your own permissions.
  • Accepting asks for a password only (at least 12 characters). The person is then signed in and taken to the app their roles open.
  • Someone whose roles open only the operations app accepts on the operations app’s address, which is reachable from anywhere.
  • You can send an invitation again or revoke it from the member’s record.

Changing someone’s roles or sign-in, and inviting with roles, asks for a fresh code from your authenticator app (see Security). A role or sign-in change ends that person’s other sessions, so the new rights apply at once.

Leaving and coming back

Mark as left makes a member inactive and, in the same step:

  • hides their website profile;
  • turns their sign-in off and ends their sessions;
  • revokes an invitation that was waiting;
  • takes them off the holiday homes they were the contact for, their open tasks and their open leads, and tells you how many of each.

Mark as back at work makes the person active again. Their sign-in stays off until someone turns it on. Both actions are recorded in the audit log. The last active Administrator cannot be marked as left, and their sign-in cannot be turned off.

Roles and permissions

Open Team > Roles. Permissions are never given to a person directly, only through roles. Five system roles exist in every company and cannot be edited or deleted:

OperationsThe operations app only: check-ins, check-outs, tasks, jobs and inspections. Never the back office.

Beyond these, people whose role includes managing roles (Administrators by default) create custom roles:

  • Pick permissions grouped by area (enquiries, leases, maintenance, pipelines and so on). Only the permissions of the features your company has, and only those you hold yourself, are offered. Permissions a role already holds always stay listed, so nothing is dropped quietly.
  • Rename or delete a custom role. A role still assigned to someone, or offered by an invitation that is waiting, cannot be deleted.
  • Clone selected roles copies a role as a starting point. A copy of Administrator leaves out the right to close the account.

What only an Administrator can do: close the account (no custom role can hold that right), and hold every permission at once. Your company always keeps at least one active Administrator: taking the role away from the last one, turning their sign-in off or marking them as left is refused.

Whatever the role, a person without the permission to see every lead sees only the leads assigned to them, and a department’s manager sees their department’s leads.

Departments

Open Team > Departments. A department is your own grouping of people, such as Sales, Leasing or Operations: a name in English and Arabic, whether it is active, and its order. A member belongs to any number of departments. Each department can have a manager, and new enquiries can be routed to a department when routing is switched on. Your company starts with a few departments seeded for its region; what you change is never overwritten.

On each member, the Leads tab says whether they take new leads, how many at most, and until when they are away.

Working time

Open Team > Working time to set the company’s working days, the hours of the working day and its holidays. First-answer targets on enquiries count working minutes only and skip holidays. The working week starts with the values of your region and keeps what you change.

The team on the website

Some companies show their team on their website. Open Settings > Company > Website profile to manage what the website shows of each person: a photo, a bio in each language, which of their contacts show publicly (phone, WhatsApp, email, each with its own switch), their order on the page and their consent. The people themselves, their names and contacts, stay on the Members list.

Names, photos and contact details are personal data, so the rules are strict:

  • A profile cannot be made visible until the person’s consent is recorded: a tick, a note saying how they agreed, and your name and the time, kept with the profile.
  • Ticking The person withdrew their consent hides the profile at once.
  • Your website receives only profiles that are active, visible and consented, and only the contacts whose “show publicly” switch is on. People who left are never sent.
  • Consent changes are recorded in the audit log.

The screen exists only when your plan includes the team on the website. The Members list is there in every case.

The operations app

The operations app is for the people who run your holiday homes and your maintenance in the field: arrivals and departures of the day, a booking’s guest contact and notes, check-in and check-out with photos, notes and the deposit decision, tasks, jobs and inspections. It is built for the phone and can be installed from the browser; on a laptop, Open on your phone shows its address as a QR code.

  • It lives at <company>.operations.majali.app, or at your own host if you add one on the Domains screen.
  • It has its own sign-in page for the same account, with the same password, lockout and second factor. Only people whose roles open the app get in.
  • It is reachable from anywhere, even when your back office is restricted to your own networks (see Security).
  • People who open both apps step from the back office into it through Operations app in the header, without signing in again.
  • A person sees the homes they are the operations contact for. Managers and Administrators, and any role with the permission to see every home, see all of them. A sign-in without a team member sees nothing.
  • A session in the app lasts 8 hours idle, a shift in the field, and 12 hours in total.

The system role Operations opens the app alone. Managers and Administrators open both apps.
