Reports
Reports are computed from the records Majali already keeps: rent, leases, stays, maintenance, enquiries and deals. Nothing is typed in for a report, and nothing is stored except the CSV files you ask for.
Which reports exist
| Report | What it shows |
|---|---|
| Rent roll | On a chosen day: every active lease with its home and unit, the renter’s name, the term, the annual rent, the next instalment due and the amount overdue. |
| Overdue rent by age | Instalments due and past their date on a chosen day, by lease and in total, in four buckets: 1 to 30, 31 to 60, 61 to 90 and over 90 days. |
| Expiries and renewals | Leases ending in the period, and the renewal rate: leases ended in the period that were renewed, over those ended. |
| Maintenance costs | Charges booked in the period, less cancellations, by home, category, contractor and payer; open jobs by age; the median days from a job’s creation to done. |
| Leads and pipelines | Enquiries received by source and service per month; the median time to a first answer; open deals by stage with count, value and weighted value; deals won and lost in the period, the win rate and the won value, per pipeline and per person. |
| Occupancy | Holiday homes: nights booked over nights available, the average nightly rate and the revenue per available night. Homes for rent: the days under an active lease over the days in the period. |
| Movements | Every receipt, charge and refund of a period in one list with totals by kind and currency. It sits under Finance (see Finance). |
For Occupancy, a home counts as available from the day it was published, less owner and maintenance blocks. Only paid, checked-in and checked-out stays count as booked; requests and holds do not.
Who can open them
A report shows company-wide figures, so it opens only to someone whose roles see every record it reads:
- rent and lease reports need “see every lease”;
- Occupancy needs bookings or leases seen in full;
- Maintenance costs needs “see every job”;
- Leads and pipelines needs “see every enquiry”, and “see every deal” for the deals part.
The Reports menu lists only the reports you may open. A report of a feature your company does not have is not there.
Filters
Each report reads a day or a period, chosen at the top of the page. Periods are in your company’s own days, in its time zone. Figures are totalled per currency and never added across currencies, so a company with homes in two currencies sees two sets of totals. Figures read what each record kept when it was paid or recorded (see “How money is dated” in Finance).
Each report has its tables and, where it helps, a chart.
Reading a report
- Figures open nothing by themselves: use the screens under Finance, Property management, Maintenance and CRM to act on what a report shows.
- A report reads live records. Record a receipt, a charge or a status change and the report shows it on its next load.
- Rent roll and Overdue rent by age read one day; the other reports read a period.
Exports
Export CSV makes the report’s file in the background and places it in Downloads, in the account menu, for 24 hours. It needs the permission to export reports, and your permissions and your company’s features are checked again when the file is made. You may make at most ten exports an hour. Cells that a spreadsheet would read as a formula are made safe, and every export is audited.
